Designing a Content Operations System for Multi-Platform Campaign Delivery

Overview

As content volume increased across long-form video, short-form social, and campaign-driven posts, tracking progress and performance became increasingly fragmented. Ideas, scripts, production assets, and analytics lived in separate tools, making it difficult to maintain visibility, ensure consistent handoffs, and iterate based on results.

I designed a centralized content operations system in Notion to serve as a single source of truth for the entire lifecycle — from ideation and production through publishing and performance review. The goal was to create a lightweight, scalable workflow that could support multiple contributors and platforms without introducing heavy project management overhead.

Scope & Responsibilties

System Architecture & Workflow Design

  • Designed the end-to-end content lifecycle framework covering ideation, production, publishing, and analytics

  • Defined required metadata and status rules to maintain clean handoffs between stages

Governance & Standardization

  • Built templates for consistent onboarding of new contributors and projects

  • Created standardized fields for content type, tone, hook, platform, and project alignment

Automation & Efficiency

  • Implemented a “Send to Production” action to move ideas into active workflows

  • Designed status-based boards to surface bottlenecks and priority items in real time

  • Connected publishing data and performance metrics back to original content intent

  • Built an analytics table to track views, URLs, thumbnails, and posting cadence

Automation & Governance

To maintain consistency and reduce manual overhead, I built lightweight automation and guardrails into the system:

  • Action buttons to move content between lifecycle stages

  • Required fields to prevent incomplete handoffs

  • Templates for new projects and contributors

  • Status rules to preserve pipeline integrity

This ensured the system remained flexible while still enforcing operational standards.

The System Architecture

1. Intake & Ideation Layer

A centralized Ideas Bank captures all new content concepts with structured metadata, including content type, hook, tone, and associated project. This ensures ideas enter production with full context and alignment to campaign or channel goals.

2. Production Pipeline

A status-based workflow tracks content through Pre-Production → Filming → Editing → Reviewed.
This provides real-time visibility into delivery progress, highlights bottlenecks, and helps prioritize resources across multiple active projects.

3. Distribution & Publishing

Each published asset is logged with platform tags, URLs, thumbnails, and posting timestamps. This creates an audit trail for what shipped, where, and when — enabling structured review across platforms.

4. Performance & Feedback Loop

Performance metrics are tied back to original content preparation data. This makes it possible to evaluate which hooks, formats, and topics drive engagement, and feed those insights back into future ideation and campaign planning.
